New Refectory & Kitchen Extension Project – Derby High School

GEA are delighted to announce the completion of the ‘New Refectory and Kitchen Extension’ at Derby High School, of which GEA provided Contract Administration Services!

The Challenge

Derby High School were facing a difficult challenge in providing adequate facilities for staff and pupils, due to a 40% increase in pupil intake.

The School had outgrown the existing Dining Hall and were looking for a solution, whereby the school community could eat together, in one dedicated space.

At the same time, the school were looking to expand their sporting facilities on the existing sports field, by providing a new multi-purpose playing surface, which could accommodate additional netball, tennis and hockey courts etc.

Additionally, they wanted to include new changing facilities in the new building, which would assist them in moving forward with hosting internal and external sporting competitions.

Time was of the essence and the school needed to get on board quickly an experienced Contractor with a proven track record working in the Education Sector.

A fully costed design was provided by Modulek which met the Client’s brief “head on” both in terms of their expectations and budgetary parameters.

Modulek was appointed and seamlessly took the project through the Planning and Building Regulation processes – they were ready to start on site!

Planned construction period 32 weeks.

Approved Budget £5,990,000.00.

Scope of Works

The project consisted of the following elements:

Removal of 50% of the existing Netball courts to accommodate the building.

Large scale groundworks to include muck away, new soakaways, piling (foundations), other drainage works, ducting, new service installations, planting and fencing etc.

Creation of new Sports Courts to include fencing, multipurpose finish, line marking etc.

Creation of a new ramp leading to a new staff car park with line marking, situated alongside the new Sports Courts.

Installation of a new purpose-built Dining Hall building, to include new Kitchen and Dining Facilities, new Toilets for pupils and staff, new staff offices, Plant Room, 2 No. Changing Rooms and additional toilets to lower ground floor area.

Solar Panels to Roof area to be included.

New fencing, step and handrail details around the whole building.

Resurfacing works to the remaining 50% of the old Netball courts.

Contract Administration

Graham Ellis Associates (GEA) were appointed Contract Administrators for the project and were tasked with agreeing a Contract Sum and Construction Programme with Modulek.

The Design and Specification were ‘value engineered’ and a Contract Sum agreed for the project

The Contract was set up using the JCT Design and Building Contract 2016 with amendments and the project started on site on 10th July 2023 with a proposed completion date of 16th February 2024.

The Contract Sum was agreed at £5,990,000.00

GEA provided the following services acting as CA for the Client:

  • Drafting Form of Contract
  • Chairing Pre-commencement Meeting with Consultants, Client and Main Contractor
  • Taking Minutes and distributing to all parties
  • Project Management in monitoring the Contractor progress on site
  • Visiting site fortnightly
  • Chairing Monthly Progress Meetings on site, taking minutes etc
  • Carrying out and agreeing monthly interim valuations with MC
  • Preparing monthly Financial Reports for the Client indicating final costs
  • Agreeing cost of any variations to the project and reporting to the client
  • Agreeing cost adjustments for Provisional Sums

Contract Administration (cont’d)

  • Acting as Planning Supervisor in accordance with CDM Regulations
  • Monitoring Health & Safety on site.
  • Preparing “snagging list” at Practical Completion (PC)
  • Agreeing Main Contractors Final Account
  • Preparing “snagging list” at the end of the Making Good Defects Period (MGD)
  • Final “sign off” and release of retention monies held

The End Result

The project was completed to an excellent standard of workmanship and within budgetary parameters.

The programme was extended by 6 weeks to accommodate additional works instructed by the Client during the construction phase and delays caused by the Electricity Board in making the final connections.

Both Modulek and GEA were congratulated on the service provided by both companies in producing an end product that the school was delighted with.
